Project proposal: [Project name]

Prepared for [Client name], [Company] · Prepared by [Your name] · [Date] · Valid until [Date + 14 days]

1. Summary

[One or two sentences, in the client's words: what they want and why now.] I'll deliver [what you will deliver] by [date], for [price].

Note: Write this part last. If the client reads only this paragraph, they should know what, when and how much.

2. What I understood

  • Goal: [The business result, e.g. more enquiries from the website]
  • Audience: [Who the site is for]
  • Must-haves: [Pages or features the client named]
  • Constraints: [Deadline, budget, existing systems]

Note: Repeat their words back. It shows you listened, and it catches misunderstandings before they cost money.

3. Scope

Included:

  • [Page or feature]: [one line on what it does]
  • [Page or feature]: [one line on what it does]
  • [Page or feature]: [one line on what it does]

Not included, available as add-ons:

  • [Copywriting]
  • [Ongoing maintenance]
  • [Paid stock photography]

Note: The not-included list prevents most scope arguments. Be specific.

4. Timeline

PhaseWhat happensDuration
DiscoveryKickoff call, sitemap, content plan[3 days]
DesignHomepage first, then inner pages, two rounds of feedback[1–2 weeks]
BuildDevelopment, content entry, checks on phones and desktops[2 weeks]
LaunchTesting, go-live, handover call[3 days]

The timeline assumes feedback within [2 working days] at each stage.

5. Investment

ItemPrice
[Phase or deliverable][$0,000]
[Phase or deliverable][$0,000]
Total[$0,000]

Payment: [50%] to start, [50%] at launch. Prices are in [USD].

Note: Price the outcome, not your hours. Two or three options (basic, recommended, complete) are easier to choose from than one take-it-or-leave-it number.

6. What I need from you

  • One person who gives feedback and makes the final call
  • Logins for the domain, hosting and any tools the site connects to
  • Text and images by [date], or copywriting added to the scope

7. Why me

[Two or three sentences. One relevant past project with a concrete result beats a list of skills.]

8. Next step

Reply to approve and I'll send the agreement and the first invoice. We can start on [date].
